Frequently asked questions

Short answers to the questions we hear most often.

General

Who is SchäferStrom for?

For anyone who passes on electricity costs within a property: owners with a photovoltaic system, property management companies and operators of self-consumption communities (ZEV and vZEV). SchäferStrom creates invoices with a Swiss QR payment part from your meter readings.

Can I test SchäferStrom before buying?

Yes. With Try the demo on the website, you can look around a sample property without an account. Entries are not saved in demo mode.

Are tenants sent payment reminders automatically?

No. SchäferStrom only reminds you, as the owner of the workspace, of overdue invoices by email. How you communicate with your tenants is up to you. More on this under Reminders for overdue invoices.

In which languages is SchäferStrom available?

The app and the invoices are available in German, English, French and Italian. You set the invoice language per tenant, independently of your own account language.

Do you help me with the setup?

Yes, on request we are happy to help you, for example with setting up your property, importing meter readings or your first billing run. Just write to us via the contact form.

Setup

Where is the best place to start?

First set the tariffs and payment details, then tenants, apartments and meters. Enter a starting value for each meter. At the next reading, you create the invoice from it. You can find the complete order under Getting started.

What is the difference between ZEV and vZEV in SchäferStrom?

With ZEV, all consumption is billed at the normal tariff. With vZEV, there is also a solar tariff, and you enter the solar share in kWh per building and period. You can find the setting under Tariffs.

Can I use a new tariff from a specific date?

Tariffs have no validity date. New invoices always use the latest tariff version. So first bill all meter readings up to the cut-off date and then save the new tariff.

Can I reuse the settings of one property for another?

Yes, you can take over the payment and invoice details from another property in the same workspace with Copy.

Why can I no longer change the tenant of an apartment?

Once an apartment is rented out, every change is made via the Tenant change button. This way, consumption is cleanly separated between the old and the new tenant. See Tenant change.

Why can't I see the Payments menu item?

The menu item only appears once your plan includes payment reconciliation and you have imported your first camt.054 file. You can find the import under Invoices > Import payments.

Meter readings and invoices

Why can't I create an invoice for the first meter reading?

The first reading is the starting value. What is billed is always the consumption between two readings. As soon as you enter a second reading, you can create the first invoice.

Why can't I delete a meter reading?

Meter readings that are already on an invoice cannot be deleted. In that case, correct the invoice or create a credit note.

My CSV import was rejected. What now?

The result shows you for each row what does not fit, for example an unknown meter name or a date before the last reading. Correct the file and upload it again. With Skip invalid rows and import the rest, only the valid rows are taken over.

Can I change an invoice afterwards?

Yes, with Edit invoice. If the invoice has already been sent, a credit note is usually the cleaner way.

How do I set an invoice to paid?

In the invoice's menu, choose Change status and set it to Paid. You change several invoices at once via the selection and Edit. With payment reconciliation in the PRO plan, this happens automatically.

Why can't I change the status of an invoice?

The statuses Partially paid, Paid and Overpaid result from imported payments and credit notes and cannot be changed manually. The same applies to invoices whose PDF is still being created.

How long are invoices kept?

Archived invoices, credit notes and payments stay available for at least 10 years, as the law requires. If you permanently delete a document, you are responsible for keeping records yourself.

Payments and accounting

Which bank file do I need for payment reconciliation?

A camt.054 file in XML format. You can find it in your bank's e-banking, usually under account statements or credit advices. The payments are matched to the invoices using the QR reference.

A payment was not matched to any invoice. What should I do?

Open Payments, filter by Open and click Assign invoice for the payment. This happens, for example, when a tenant transferred the money without a reference.

A tenant has paid too much. How do I refund the amount?

The invoice then has the status Overpaid. Create a credit note for it. The form is already filled in as a refund. As soon as you have transferred the amount, set the refund to Paid.

Can I transfer my documents to bexio or Banana?

Yes, with the Accounting export under Invoices. It creates a booking journal in the format Neutral (CSV), bexio (CSV) or Banana. See Accounting and exports.

Account and security

I no longer have access to my authenticator app.

Sign in with one of your backup codes and then set up two-factor authentication again. If you no longer have any backup codes either, contact us.

Do team members need their own subscription?

No. What counts is the plan of the owner of the workspace. How many people you can invite depends on this plan.

How do I cancel my subscription?

Under Account > Payment & Billing > Manage subscription. You keep access until the end of the paid period.
